About Our Platform
PatientCopilot is an AI-powered patient engagement platform designed for healthcare practices. Our platform provides automated patient communication, appointment scheduling, review management, marketing tools, and related features. By creating an account, subscribing to a plan, or opting in to receive communications, you may receive messages related to your account, service updates, platform notifications, and promotional offers.
Account Terms
When you create an account with PatientCopilot, you agree to:
- Provide accurate and complete registration information
- Maintain the security of your account credentials
- Notify us immediately of any unauthorized use of your account
- Accept responsibility for all activities that occur under your account
- Use the platform only for lawful purposes and in compliance with applicable healthcare regulations
Subscription and Billing
PatientCopilot offers subscription-based pricing plans. By subscribing to a plan, you agree to:
- Pay the applicable subscription fees on a monthly basis
- Provide valid and current payment information
- Accept that subscription fees are billed in advance and are non-refundable except as required by law
- Understand that you may upgrade, downgrade, or cancel your subscription at any time from your dashboard
- Acknowledge that cancellation takes effect at the end of the current billing period
All plans include a 14-day free trial. If you cancel before the trial period ends, you will not be charged. After the trial period, your subscription will automatically begin unless you cancel.
AI-Powered Communications
PatientCopilot uses artificial intelligence to automate certain patient communications on behalf of healthcare practices. By using our platform, you acknowledge and agree that:
- AI-generated communications are sent on behalf of your practice, not on behalf of PatientCopilot
- You are responsible for reviewing and configuring AI behavior to align with your practice's standards and protocols
- AI communications are designed to supplement, not replace, professional medical judgment
- PatientCopilot is not responsible for clinical decisions made based on AI-facilitated communications
- You will inform patients that certain communications may be AI-assisted as required by applicable laws and regulations
HIPAA Compliance
PatientCopilot is HIPAA compliant and certified by HIPAAOne. When you use our platform to process patient health information, we act as a Business Associate under HIPAA. We will enter into a Business Associate Agreement (BAA) with you upon request.
You are responsible for ensuring that your use of PatientCopilot complies with HIPAA and all other applicable healthcare regulations. For full details, see our HIPAA Compliance Policy.
SMS/Text Messaging Terms
By providing your mobile phone number and consenting to receive text messages from PatientCopilot or a healthcare practice using PatientCopilot, you agree to the following:
Consent & Opt-In
By opting in, you consent to receive recurring SMS/MMS messages including but not limited to: appointment reminders, booking confirmations, service follow-ups, review requests, and promotional offers. Consent is not a condition of purchase. You may opt in via website forms, by texting a keyword to the practice's business number, or by providing verbal consent.
Message Frequency
Message frequency may vary depending on your interactions. You may receive multiple messages per week related to appointments, service updates, or promotions. Message and data rates may apply. Contact your wireless carrier for details about your messaging plan.
Opt-Out
You can opt out of receiving text messages at any time by texting STOP to any message you receive. Upon opting out, you will receive a single confirmation message: "You have been unsubscribed and will no longer receive text messages." After unsubscribing, you will not receive any further messages unless you re-subscribe.
Re-Subscribe
If you have opted out and wish to re-subscribe, you may do so by texting START to the business number, filling out a form on the practice's website, or contacting the practice directly.

A2P 10DLC Compliance
All SMS/MMS messages sent through PatientCopilot are transmitted via Application-to-Person (A2P) 10DLC registered campaigns in compliance with carrier requirements and The Campaign Registry (TCR) guidelines. Healthcare practices using PatientCopilot for SMS messaging agree to:
- Obtain proper consent from patients before sending text messages
- Maintain records of opt-in consent
- Comply with all applicable A2P messaging regulations
- Not use the messaging platform for spam, fraud, or illegal purposes
Carrier Liability
Carriers are not liable for delayed or undelivered messages. Message delivery is subject to effective transmission from your wireless carrier. PatientCopilot is not responsible for messages that are not delivered due to carrier issues, device incompatibility, or other factors outside of our control.
Privacy
Your privacy is important to us. Please review our Privacy Policy for information on how we collect, use, and protect your personal data, including your mobile phone number and messaging preferences.
Acceptable Use
You may use PatientCopilot and this website for lawful purposes only. You agree not to:

- Attempt to gain unauthorized access to the platform or other users' accounts
